1. Purpose

This Payment and Settlement Policy explains how payments, fees, settlement, refunds and chargebacks may work on SchoolTix. It must be read with the Terms and Conditions, Refund Policy and any agreement between SchoolTix and a School.

2. Supported payment models

SchoolTix may support multiple payment models, including:

Payfast split payments or direct school-linked Payfast accounts;

Sticitt or other school payment wallet integrations;

manual EFT to the School;

pay-at-school or offline payment options;

other payment providers approved by SchoolTix.

3. School payment setup

Each School is responsible for selecting and maintaining its payment method, completing any payment provider onboarding, providing accurate settlement details, complying with payment provider terms and ensuring internal approval for the payment process.

4. Ticket payment confirmation

Online tickets are generally issued only after payment confirmation is received from the Payment Provider. Manual EFT and pay-at-school tickets may require manual confirmation by the School. SchoolTix is not responsible for delayed or failed payments caused by banks, gateways, incorrect references or School-side verification delays.

5. Fees and deductions

SchoolTix may deduct platform fees, booking fees, service fees, payment processing fees, refund fees, chargeback fees, administrative fees and other agreed charges from ticket proceeds before settlement. Fees should be displayed or agreed with the School according to the applicable commercial arrangement.

6. Settlement

Settlement timing depends on the payment method, Payment Provider, bank processing timelines, refund holds, chargebacks and the School’s account status. SchoolTix may withhold or delay settlement where fraud, payment disputes, legal issues, incorrect bank details or unresolved refunds are suspected.

7. Direct-to-school payment methods

Where payments are made directly to the School or the School’s own provider account, the School is responsible for bank reconciliation, payment confirmation, refunds, reversals, financial records and responding to payer queries. SchoolTix may show payment status based on information available to the Platform but does not guarantee the School’s external bank records.

8. Manual EFT and pay-at-school

Manual EFT and pay-at-school options create additional reconciliation risk. The School is responsible for confirming receipt of funds before admitting attendees or treating tickets as paid. SchoolTix is not liable for uncollected or incorrectly reconciled manual payments.

9. Refund funding

Refunds may be funded from unsettled ticket proceeds, the School’s payment provider balance, the School’s bank account or another agreed method. If fees or costs have already been incurred, those amounts may be non-refundable unless law requires otherwise.

10. Chargebacks and disputes

Chargebacks, reversals and payment disputes may result in ticket cancellation, settlement delays or deductions from future payouts. The School may be liable for chargeback fees and losses associated with its events. SchoolTix may provide records to assist with chargeback defence.

11. Taxes and accounting

Schools are responsible for their own tax, accounting, audit, school governance and reporting obligations relating to ticket sales and fundraising income. SchoolTix reports are operational tools and should be reconciled with bank and payment provider statements.

12. Fraud monitoring

SchoolTix may monitor transactions for fraud, suspicious activity, unusual purchase patterns, duplicate payments, high-risk refunds or payment abuse. SchoolTix may suspend ticket issuing, block transactions, delay settlement or request verification where needed.
