1. Purpose of this Privacy Policy

This Privacy Policy explains how SchoolTix collects, uses, stores, shares and protects personal information when users access the Platform, purchase tickets, create events, manage school accounts, scan tickets or contact support. It must be read together with the SchoolTix Terms and Conditions and any school-specific privacy notices.

2. POPIA roles

Depending on the circumstances, SchoolTix may act as a responsible party where it determines the purpose and means of processing, or as an operator where it processes personal information for a School or Event Organiser under mandate. Schools remain responsible for ensuring they have a lawful basis for learner, parent, guardian, staff and attendee information they upload or process through SchoolTix.

3. Information we collect

account details such as names, surnames, email addresses, cellphone numbers and login details;

school and organisation details;

event, ticket, seat, section, row, table and attendance details;

payment references and transaction records, excluding full card details unless lawfully processed by an authorised payment provider;

QR code, barcode, ticket scan and entry validation records;

communication records with support;

device, browser, IP address, log and analytics information;

information uploaded by Schools, which may include learner or child-related information where needed for an event.

4. How we collect information

We collect information directly from users, from Schools and Event Organisers, through use of the Platform, through ticket purchases, through payment providers, through ticket scanning, through support communications and through technical systems such as cookies, logs and analytics tools.

5. Purposes of processing

creating and managing accounts;

enabling Schools to create and manage events;

processing ticket purchases and reservations;

issuing, validating and scanning tickets;

processing payments, refunds, reversals and chargebacks;

communicating event information and operational messages;

providing support and troubleshooting;

preventing fraud, abuse and unauthorised access;

generating reports for Schools;

maintaining legal, tax, accounting and audit records;

improving security, performance and reliability of the Platform;

complying with law, court orders, regulators and lawful requests.

6. Legal basis for processing

SchoolTix processes personal information where necessary to perform a contract, comply with legal obligations, pursue legitimate interests, protect rights and security, obtain consent where required, or support the lawful functions of Schools and Event Organisers.

7. Children’s information

SchoolTix may process information relating to children because the Platform supports school events. Schools must avoid uploading unnecessary sensitive learner information and must ensure any child-related processing is lawful, limited, relevant and properly authorised. Parents and guardians should contact the relevant School for event-specific child information queries.

8. Sharing of information

SchoolTix may share personal information with Schools and Event Organisers, payment providers, banks, hosting providers, email and SMS providers, support providers, analytics providers, professional advisers, auditors, insurers, regulators, law enforcement authorities and other parties where reasonably necessary to operate the Platform or comply with law.

9. Cross-border processing

Some service providers may process or store information outside South Africa. Where this occurs, SchoolTix will take reasonable steps to ensure appropriate safeguards are in place as required by applicable law.

10. Security safeguards

SchoolTix will take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction. No electronic system is completely secure, and users must keep their own account credentials secure.

11. Retention

SchoolTix will retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including legal, accounting, tax, audit, dispute, fraud prevention and operational requirements. Schools may also have their own retention obligations.

12. Data subject rights

Data subjects may request access to, correction of or deletion of their personal information, subject to legal and operational limits. Requests can be sent to the Information Officer or support contact listed in this document. SchoolTix may need to verify identity before actioning a request.

13. Cookies and analytics

SchoolTix may use cookies and similar technologies for authentication, security, preferences, analytics and Platform performance. Users can control certain cookie settings in their browser, but some features may not work correctly if cookies are disabled.

14. Direct marketing

SchoolTix may send transactional messages relating to accounts, tickets, events, payments, refunds, security and support. Marketing messages will be sent only where permitted by law or with consent where required. Users may unsubscribe from marketing messages, but operational messages may still be sent.

15. Information Regulator

Users may lodge privacy complaints with the Information Regulator of South Africa if they believe their rights under POPIA have been infringed. Users are encouraged to contact SchoolTix first so that the matter can be addressed promptly.
