1. Definitions
In these Terms and Conditions, “SchoolTix”, “we”, “us” or “our” means Pro2Me (Pty) Ltd, registration number 2026/204509/07, trading as SchoolTix, and where applicable its owners, employees, contractors, agents, service providers and authorised representatives. “Platform” means the SchoolTix website, application, ticketing system, payment integrations, event tools, seating tools, reporting tools, scanning tools and related services. “School” or “Event Organiser” means a school, educational institution, parent body, committee, association, club or authorised representative that creates or manages an event on SchoolTix. “User” means any person who accesses or uses SchoolTix. “Customer” or “Ticket Purchaser” means a person who purchases, reserves, receives, transfers, presents or uses a ticket through SchoolTix. “Event” means any school-related or community-related event listed on SchoolTix. “Ticket” means any digital, printed, emailed or otherwise issued ticket, QR code, barcode, reference number, seat allocation or entry pass generated through SchoolTix.
2. About SchoolTix
SchoolTix provides technology and administrative tools that allow schools and event organisers to create events, advertise events, sell tickets online, manage ticket availability, allocate seats where applicable, process payments, issue digital tickets, scan tickets at entry points and access ticket sales reports. Unless expressly stated otherwise, SchoolTix is not the organiser, owner, host, sponsor, safety manager, venue operator, performer, supplier of the event itself or party responsible for the delivery, quality, timing, cancellation, postponement or management of any event.
3. Acceptance of terms
You accept these Terms when you visit or use the Platform, create an account, create or publish an event, purchase or receive a ticket, make or attempt payment, use a ticket to gain entry, scan or validate tickets, or otherwise use any SchoolTix service.
If you use SchoolTix on behalf of a school, organisation, committee, employer or other legal entity, you confirm that you are authorised to bind that entity to these Terms.
4. Eligibility and authority
You may use SchoolTix only if you have the legal capacity to enter into binding agreements under South African law. If you are under 18 years old, you may use SchoolTix only with the involvement and consent of a parent or legal guardian. A school staff member, administrator, parent body representative or committee member using SchoolTix on behalf of a School confirms that they have proper authority to do so. SchoolTix may request proof of authority and may suspend or remove access if authority cannot be verified.
5. Account registration and security
Certain features require an account. You must provide accurate, complete and current information. You are responsible for keeping login details confidential and secure. You must immediately notify SchoolTix if you suspect unauthorised access. SchoolTix is not liable for loss caused by your failure to keep credentials secure. SchoolTix may suspend, restrict or terminate an account where we reasonably suspect misuse, fraud, unauthorised access, inaccurate information, unlawful activity, abuse of the Platform or breach of these Terms.
6. School and Event Organiser responsibilities
ensuring it has authority to list and sell tickets for the event;
providing accurate event information;
setting ticket prices, categories and capacities;
creating and maintaining seating layouts where allocated seating is used;
confirming venue capacity and safety limits;
deciding whether tickets are refundable, transferable or exchangeable;
managing event cancellation or postponement decisions;
ensuring the event complies with applicable laws, venue rules and school policies;
managing entry, security, crowd control and attendee behaviour;
ensuring tickets are scanned or validated properly;
dealing with parent, attendee and learner queries about the event;
ensuring event content, images, logos and descriptions do not infringe third-party rights;
complying with financial, accounting, tax and internal school governance requirements;
ensuring funds received through ticket sales are handled in accordance with applicable school, governing body, association or legal requirements.
7. Ticket Purchaser responsibilities
Customers must check the event name, school, date, time, venue, ticket type, selected seat, section, row or table before completing payment.
Customers must ensure their email address, cellphone number and contact details are correct.
Customers must keep tickets, QR codes, barcodes and reference numbers secure and must not duplicate, alter, resell unlawfully or misuse tickets.
Customers and attendees must comply with the School’s event rules, venue rules and safety instructions.
8. Event listings and information
SchoolTix may display event pages, school pages, ticket categories, seating layouts, prices, descriptions, dates, times, maps, banners, images, school logos and other information provided by the School or Event Organiser. The School or Event Organiser remains responsible for the correctness and completeness of the event information. SchoolTix does not guarantee that event information will always be free from errors, omissions or changes.
9. Ticket availability and allocated seating
Ticket availability is subject to capacity limits, seat availability, payment completion, system availability and rules set by the School or Event Organiser. Where allocated seating is offered, a seat selection is not guaranteed until checkout has been completed and payment has been successfully confirmed. Seats may become unavailable during checkout if another customer completes payment first. The School or Event Organiser may change seating arrangements where reasonably necessary for operational, safety, venue, technical or event-related reasons.
10. Prices, fees and charges
Ticket prices are determined by the School or Event Organiser. SchoolTix may charge platform fees, service fees, booking fees, transaction fees or administrative fees. Payment providers may charge processing fees. All prices should be displayed in South African Rand unless otherwise stated. SchoolTix may correct obvious pricing errors and may cancel and refund a transaction where a genuine pricing error occurred, unless otherwise required by law.
11. Payments
Payments may be processed through third-party Payment Providers. Depending on the School’s setup, payment options may include online card payments, instant EFT, split payments, manual EFT, pay-at-school options, Sticitt, Payfast or other supported methods. Available payment methods may differ per School and Event. SchoolTix does not store full card details unless expressly stated and lawfully processed through an authorised payment provider. A ticket may only be issued once payment is successfully confirmed, unless the School permits manual, reserved, complimentary or offline tickets.
12. Payment allocation and settlement
Where SchoolTix supports direct settlement, split payments or school-linked payment accounts, funds may be paid directly to the relevant School, Event Organiser or designated payment account according to the selected payment method and configuration. SchoolTix may deduct agreed fees, payment processing fees, refund costs, chargeback costs, administrative fees or other authorised amounts before settlement. Schools are responsible for ensuring banking and payment provider details are accurate.
13. Refunds, exchanges and cancellations
Refund rules may differ per event and are generally determined by the School or Event Organiser, subject to applicable law. Unless otherwise stated or required by law, tickets are not automatically refundable after purchase; booking, service and processing fees may be non-refundable; tickets may not be exchangeable; and refunds may require approval by the School or Event Organiser. If an event is cancelled, the School or Event Organiser is responsible for deciding and communicating the refund or replacement process, subject to applicable law. If an event is postponed, tickets may remain valid for the new date unless the School decides otherwise or applicable law requires otherwise.
14. Chargebacks and reversed payments
If a payment is reversed, disputed, charged back, dishonoured or found to be fraudulent, SchoolTix or the School may cancel the related tickets. The responsible User, School or Event Organiser may be liable for chargeback fees, bank fees, payment provider fees, administrative costs or losses arising from the disputed payment.
15. Ticket delivery and use
Tickets may be delivered by email, download link, account dashboard, QR code, barcode, reference number, SMS, WhatsApp link or another supported method. Delivery depends on payment confirmation, correct details and system availability. Each ticket is valid only for the event, date, ticket type, seat, section or category shown on the ticket unless otherwise accepted by the School. A ticket may be scanned or validated only once unless configured otherwise. The first valid scan may be treated as the authorised use of that ticket.
16. Entry refusal
The School or Event Organiser may refuse entry or remove an attendee where the ticket is invalid, duplicated, cancelled, refunded, already used or suspected fraudulent; where the attendee breaches school, venue or event rules; or where the attendee behaves unlawfully, dangerously or disruptively, refuses safety instructions, causes damage or poses a risk to learners, staff, attendees or the public.
17. Complimentary, manual and offline tickets
SchoolTix may allow Schools to issue complimentary, manual, staff, VIP, sponsor, offline, reserved or pay-at-school tickets. The School is responsible for controlling and reconciling these tickets. SchoolTix is not liable for over-allocation, unauthorised manual tickets, uncollected payments, staff errors or misuse of such functions by School users.
18. Safety, supervision and attendance
The School or Event Organiser is responsible for event safety, venue suitability, access control, supervision, emergency planning, security arrangements and compliance with applicable school policies and laws. SchoolTix does not control the physical event environment and is not responsible for injury, illness, theft, loss, property damage, misconduct, supervision failures or safety incidents at an event. Parents and guardians remain responsible for supervision of children attending events, unless the School expressly accepts such responsibility.
19. Content and intellectual property
Schools may upload logos, images, event descriptions, seating layouts, posters and other content. By uploading content, the School confirms it has the right to use that content and grants SchoolTix a non-exclusive, royalty-free licence to use, display, reproduce, store, resize, process and publish the content for operating and promoting the relevant event and Platform. All rights in the SchoolTix name, platform, software, workflows, designs, layouts, code, databases, branding, processes and documentation belong to SchoolTix or its licensors.
20. Prohibited use
Users may not use SchoolTix to break the law, commit fraud, sell tickets without authority, misrepresent an event or school, upload unlawful or infringing content, interfere with Platform security, gain unauthorised access, scrape data, bypass payment controls, duplicate or forge tickets, transmit malware, attack the Platform, collect personal information unlawfully or damage SchoolTix’s reputation or operations.
21. Platform availability and reports
SchoolTix aims to provide a reliable service but does not guarantee uninterrupted or error-free access. The Platform may be unavailable due to maintenance, upgrades, internet failures, hosting failures, payment provider issues, cyber incidents, third-party interruptions, power outages or technical problems. Reports may be affected by refunds, chargebacks, manual tickets, offline payments, failed payments, duplicate records, payment provider delays or user errors. Schools must verify reports against their own records and bank/payment provider statements.
22. Privacy and children’s information
SchoolTix processes personal information in accordance with applicable South African privacy laws, including the Protection of Personal Information Act, 2013. Because SchoolTix is used for school-related events, the Platform may involve information relating to children. Where Schools upload, manage or process learner or child-related information, the School is responsible for ensuring the processing is lawful and properly authorised. A separate Privacy Policy must be read together with these Terms.
23. Third-party services
SchoolTix may integrate with third-party payment providers, banks, email providers, SMS providers, hosting services, analytics providers, map services, school systems or external websites. Third-party services are governed by their own terms, privacy policies, charges and operating rules. SchoolTix is not responsible for third-party failures, delays, errors, fees, data breaches, decisions or actions.
24. Disclaimers and limitation of liability
SchoolTix provides the Platform on an “as is” and “as available” basis. To the fullest extent permitted by law, SchoolTix does not warrant that the Platform will always be available, error-free, fit for every School’s requirements or free from cyber risks. SchoolTix does not guarantee the success, profitability, attendance, safety, quality or outcome of any event. To the fullest extent permitted by South African law, SchoolTix will not be liable for indirect, incidental, special, consequential, punitive or economic loss, including loss of profit, revenue, data, goodwill, opportunity, reputational damage, wasted expenditure or third-party claims. Where SchoolTix is found liable despite these Terms, liability will be limited, to the maximum extent permitted by law, to the fees actually received by SchoolTix for the specific transaction or service giving rise to the claim.
25. Indemnity
You agree to indemnify and hold SchoolTix harmless against any claim, loss, damage, liability, penalty, cost or expense, including reasonable legal costs, arising from your breach of these Terms, misuse of the Platform, unlawful conduct, inaccurate information, unauthorised account use, uploaded content, third-party rights infringement, payment disputes or chargebacks, failure by a School to comply with law, event safety issues or any claim by an attendee, parent, learner, supplier, school, regulator or third party relating to an event.
26. Suspension and termination
SchoolTix may suspend, restrict or terminate access to the Platform, accounts, event listings or ticketing functions where we reasonably believe these Terms have been breached, the Platform is being misused, fraud or unlawful activity may be occurring, information is inaccurate, payments are disputed, there is a security risk, a School user lacks authority, continued access may cause harm or suspension is required by law, a regulator, court order or payment provider.
27. Complaints and support
Users may contact SchoolTix for support relating to Platform functionality, ticket delivery, account access or technical issues. Event-specific complaints, refund requests, safety concerns, seating disputes and event management issues may be referred to the relevant School or Event Organiser. SchoolTix may assist where practical but does not assume responsibility for matters controlled by the School or Event Organiser.

29. Governing law
These Terms are governed by the laws of the Republic of South Africa. You agree that disputes relating to these Terms, the Platform, ticket purchases or SchoolTix will be dealt with by the courts of South Africa, subject to any alternative dispute resolution process required or allowed by law. Nothing in these Terms excludes liability or rights that cannot lawfully be excluded under South African law.
